A good fit for

Businesses that issue invoices and manually track follow-ups.

What we measure

Time spent chasing invoices and overdue-balance trends.

Your team stays in control

Paid or disputed invoices leave the reminder flow. Your team controls payment terms, adjustments and escalations.

Illustrative workflow

A reminder checks the payment status first

An invoice approaches its agreed due date. The workflow reads its current status, checks for a dispute or paused follow-up and prepares the next approved reminder. A paid invoice leaves the sequence. The owner receives a summary of overdue items that need a conversation. This is an example of administrative follow-up, not a promise of faster payment or a debt-collection service.

What we implement.

  • Reminder configuration in your existing software
  • Payment-status checks and follow-up schedules
  • Overdue summaries and exception routing

The agreed pilot includes representative tests, a review of exceptions and an operating handover. We define the workflow owner and acceptance criteria before implementation. Training and ongoing support are included only as specified in your scope.

What to bring to the assessment.

Bring the accounting system, invoice states, payment terms and existing reminder settings. Identify who can pause a reminder, record a dispute or approve an adjustment. We assess native accounting features first; a custom connection is considered where a defined cross-system gap remains.

Make exceptions visible.

A stale payment record can lead to an embarrassing reminder. We define how fresh the status must be, how partial payments are handled and what happens when a system is unavailable. Changes to amounts, terms and write-offs stay with your team. Reminders need a clear stop rule and a route for replies.

Questions before you start.

Do we need custom software?

Not necessarily. Your accounting platform may already support the required reminders. The assessment can recommend configuration and training instead of a custom integration.

Can disputed invoices be excluded?

That is a core scoping decision. We identify the authoritative dispute or hold status, who can change it and how quickly the reminder workflow sees the change.

What outcomes can we measure?

Measure staff time spent checking invoices and preparing follow-ups, along with overdue-balance trends. Payment timing also depends on customers, terms and disputes, so collection improvements cannot be guaranteed.

Start with a bounded pilot

Scope the task. Measure the result.

Tell us your current tools, approximate workload and the step that takes too much time. We assess fit before proposing scope and pricing. Implementation, software subscriptions, model usage and ongoing support are identified separately.
