MINAC GROUP
Everyday operations · Small & medium businesses

Document processing and approval automation.

Move recurring documents into a reviewable process. MINAC helps teams extract agreed fields, check missing or inconsistent information and route records for approval before they reach the next system.

A good fit for

Operations teams handling recurring invoices, forms or purchase orders.

What we measure

Processing time, field accuracy and correction rate.

Your team stays in control

Uncertain fields and mismatches go to a reviewer. Source documents remain available for checking.

Illustrative workflow

An invoice arrives with a missing reference

An invoice enters an agreed folder or inbox. The workflow extracts the supplier, invoice number, date and amounts, then checks required fields and possible duplicates. An absent purchase-order reference sends it to an exception queue. The reviewer sees the original document alongside the extracted values. Only the approved record moves to the agreed destination. This is an example scope, not an automated payment service.

What we implement.

  • Defined document types and fields to extract
  • Validation, duplicate checks and exception queues
  • Approval routing and agreed system export

The agreed pilot includes representative tests, a review of exceptions and an operating handover. We define the workflow owner and acceptance criteria before implementation. Training and ongoing support are included only as specified in your scope.

What to bring to the assessment.

Bring representative documents, including scans and awkward layouts, a list of required fields and the destination format. Identify who approves each document type and what counts as a duplicate. A pilot starts with a bounded document family; handwritten, multilingual or unusually formatted material may need separate evaluation.

Make exceptions visible.

Extraction confidence alone is not proof of correctness. We test totals, dates, missing pages, repeated uploads and unreadable fields against reviewed examples. Uncertain records remain visible instead of disappearing into a failed job. Retention, access to source files and correction history are agreed with the document owner.

Questions before you start.

Can you process every document format?

No universal accuracy claim is appropriate. We evaluate your real document types and agree which formats, fields and exceptions are included. New layouts should be tested before adding them to a production workflow.

Will approved invoices be paid automatically?

Payment execution is not included in the default document-processing scope. The workflow prepares and routes records; your team retains the agreed financial approval and payment process.

How is accuracy measured?

Compare extracted fields with a reviewed reference set, then track correction rates and processing time. Important fields can have different acceptance criteria, and uncertain records should be routed to a reviewer.

Start with a bounded pilot
