Appointment-based services, agencies and businesses with repeat onboarding steps.
Booking administration time, missed appointments and onboarding completion.
Availability, time zones, cancellations and rescheduling rules are agreed before launch. Existing calendar features are assessed first.
An agency marks an agreed project ready for onboarding. The workflow creates a project checklist, requests the required client information and offers an approved booking link. The account manager sees missing items before kickoff. If the meeting moves, the checklist and reminders follow the revised event rather than creating another project. This illustrates a possible workflow; the exact trigger depends on your tools.
The agreed pilot includes representative tests, a review of exceptions and an operating handover. We define the workflow owner and acceptance criteria before implementation. Training and ongoing support are included only as specified in your scope.
Bring your current checklist, booking rules, intake form and ownership of each handoff. Decide whether a signed agreement, deposit confirmation or manual approval starts onboarding. We define required versus optional information and identify where calendar and project status should be authoritative.
Onboarding is not complete merely because a welcome email was sent. We test rescheduling, cancellation, duplicate intake and incomplete information. Time zones and availability need explicit rules. Passwords and account credentials should use your approved secure access process rather than being requested in ordinary intake forms.
Often the most useful starting point is configuring the tool you already use. We check its reminder, intake and integration features before proposing an additional system.
Yes, when the packages and routing rules are clear. Start with one repeatable package, validate its checklist and handoffs, then scope additional variants.
Track time spent preparing kickoff, incomplete intake items, missed appointments and time until the client is ready to start. Compare similar project types so a change in project complexity does not distort the result.
Tell us your current tools, approximate workload and the step that takes too much time. We assess fit before proposing scope and pricing. Implementation, software subscriptions, model usage and ongoing support are identified separately.
